Privacy Policy

This Privacy Policy explains how Digital Route Khata ("we," "our," "us") collects, uses, and protects information when you use our web app (digitalroutekhata.pk) and Android app (together, "the Service").

1. Information We Collect

Account information you provide: full name, username, email address, contact number, city, and a password (stored securely — see Section 3).
Business data you or your team enters: vehicle, driver, vendor, contractor and vehicle-owner records; trip and freight details; financial/ledger entries; maintenance and tyre records; and any photos you choose to upload (e.g. maintenance receipts).
Verification codes: a short-lived one-time code (OTP) emailed to you to verify sign-up or reset your password — these are not kept longer than necessary and expire automatically.
Basic technical information: login session tokens and, where relevant, your fleet's saved appearance/settings preferences.

We do not collect payment card numbers, bank account numbers, or wallet credentials — subscription payments are made directly by you to the payment details we share, outside the Service (see our Terms & Conditions, Section 3).

2. How We Use Information

To create and operate your account and your fleet's records
To send OTP/verification and password-reset emails
To show in-app notifications (e.g. document-expiry reminders, subscription status)
To provide customer support when you contact us
To maintain the security and reliability of the Service
To improve and develop the Service

3. How We Store & Protect Information

Your data is stored on Cloudflare's cloud infrastructure (D1 database and Workers KV), accessed over encrypted (HTTPS) connections.
Passwords are never stored in plain text — they are hashed (PBKDF2) before being saved.
Access to a fleet's data is restricted to that fleet's own Owner/Manager accounts, and to Digital Route Khata's Super Admin for account support and billing purposes.
No system can be guaranteed 100% secure; we take reasonable technical and organizational measures to protect your information but cannot guarantee absolute security.

4. Sharing of Information

We do not sell your personal information or business data. We share information only with:

Cloudflare, Inc. — our hosting/database/infrastructure provider
Resend — our email-delivery provider, used only to send OTP/verification and account-related emails
Where required by law, regulation, or a valid legal request

We do not share your data with advertisers, and the Service does not run third-party advertising.

5. Your Choices & Rights

You can review and update most of your account and business information directly within the app (Settings, My Profile).
You may request a copy of, or the deletion of, your account and associated data by contacting us at support@digitalroutekhata.pk. We will act on reasonable requests within a reasonable timeframe, subject to any data we are required to retain by law.
If you are a Manager linked to another Owner's fleet, that fleet's business data is controlled by the Fleet Owner, not by you individually.

6. Data Retention

We retain account and business data for as long as your account is active, and for a reasonable period after account closure for legal, accounting, security, or dispute-resolution purposes, after which it is deleted or anonymized.

7. Children's Privacy

The Service is a business tool intended for adults operating or working for a transport/logistics business. It is not directed at, and we do not knowingly collect information from, children.

8. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be reflected by an updated Effective Date above.
